Policies

Welcome to the Russian School of Mathematics! We look forward to a productive and happy relationship with your family. The following policies have been created to help ensure the smooth operation and safety of our program.

Enrollment

After completing your online application you will receive a first email confirming the application. Once your enrollment is processed, you will receive a second e-mail confirming your child’s spot in the class and providing your Smart Tuition Family ID and instructions to log into the Smart Tuition website (your account with Smart Tuition is automatically created).

If your child attends an eligible class, you will receive a link to our "Homework Online" program a few weeks before your first class. Homework online gives students real time feedback and parents unparalleled transparency into their child's math development. We are expanding it slowly to all of our middle and high school classes.

Please remember that an application alone does not guarantee you a spot in one of our classes. A registration fee is required in order for class placement to be finalized.

Registration Fee

All students enrolled for the fall & spring semesters are required to pay a $100 non-refundable annual registration fee. This fee reserves your place in class. A placement in class is not guaranteed until the registration fee is received.

The fee is reduced to $80 for students registering after January 1st and to $40 after April 1st.

No registration fee is required to be paid for Summer School.

Tuition & Payment Policies

RSM has partnered with Smart Tuition, to allow our parents more flexibility in paying tuition. Once your application is accepted, you will receive an email from RSM with details on how to log into your Smart Tuition account, review your bills & make payments.

  • Payment Plans.  Smart Tuition offers two payment plans for the academic year:
    Semester Plan . Make two payments: For Fall Semester (Lesson 1-20) due Aug 1st & Spring Semester (Lesson 21-36) due Jan 1st.

    Installment Plan.  Make nine installments on Aug 1, Sep 1, Oct 1, Nov 1, Dec 1, Jan 1, Feb 1, Mar 1, and Apr 1. Each payment covers 4 lessons. Smart Tuition charges a $46 annual fee (per family) for administering an installment plan.

  • Tuition is Charged One Month Ahead. Regardless of payment plan, all tuition is charged one month ahead (so for example October tuition will be charged no later than September 1st, and September tuition is due in August). Charging one month ahead allows RSM to plan ahead and enforce our cancellation policy.
  • Joining Mid-Year . For students who start mid-year, tuition is prorated based on the first class attended and the number of classes remaining in the year. No pro-ration is made for students who miss classes throughout the year.

  • Late Fees .  All tuition is due on the 1st day of the month. Smart Tuition charges a $35 late payment fee on the 5th of the month.

  • Payment Methods .  All payment is processed by SmartTuition.  Set up your account using the information that is emailed to you when you register. Through your account you can access billing statements and payment history or make a payment online at any time. You can also pay with a check by mail or over the phone via a check,  bank account or credit/debit card. Payments by check or ACH debit are free, but Smart Tuition does charge a  2.65% credit/debit card processing fee for all credit/debit card payments.  Visa credit and debit cards are not accepted by Smart Tuition.  SmartTuition can also process cash payments, but will charge a $4.99 fee for cash payments of up to $1,000.  
  • Paying By Check .  Smart Tuition offers both a 24 hour automated telephone payment method and accepts checks by mail. If paying by check please include the Family ID in the memo field.

  • Returned Check or Failed ACH Fee. Smart Tuition charges a $30 fee for each returned check or failed auto-debit. Please be careful when entering your routing and account numbers online.

 

Withdrawal Refunds and Cancellation Policy

We are committed to making sure every child has a great experience at RSM. Sometimes we may need to work together to find the right class options for your child. Please get in touch with us early if you have concerns about your child’s progress or are in any way dissatisfied.

Cancellation policies are determined by student status at the time of withdrawal:

New students may withdraw from our program any time during their first 20 lessons. Your child may attend the next 4 classes following the cancellation notice up until Lesson 20.  Any remaining tuition (after the 4 lessons) will be refunded. After Lesson 20 all new students are considered continuing and should follow the cancellation policy of a continuing student.

Withdrawal Policy For Continuing Students

We believe that Mathematics cannot be taught in the space of a few lessons and we ask that continuing students familiar with RSM make at least a term based commitment to the program and will only refund tuition for continuing students during the first six lessons of the year (see below). 

Continuing students refund amount is prorated based on the time of withdrawal. Please see details below:

Refund of the Fall Term (September - January) will be processed only after the school receives a written notification as follows:

  • 100% of tuition (all 5 months) is refunded if the cancellation notification is received before the start of classes
  • 80% of tuition (the last 4 months) is refunded if the cancellation notification is received before the second lesson
  • 60% of tuition (the last 3 months) is refunded if the notification is received before the third lesson
  • 40% of tuition (the last 2 months) is refunded if the notification is received before the fourth lesson
  • 20% of tuition (the last month) is refunded if the notification is received before the sixth lesson
  • There are NO REFUNDS for the Fall semester after the 6th lesson

For continuing students withdrawing during the Spring Term (February - June), a FULL REFUND will be issued if a withdrawal notice is received by Lesson 20.  After Lesson 20 no refunds will be issued for the Spring Term.

If you do decide to withdraw your child from school, please email our school with:

  • Your child's full name
  • The date of the last class he/she attended
  • The reason for withdrawal.

We always appreciate any feedback, so please tell us your honest feedback.

 Payment Policy

    1. This Payment Policy relates to the regular full-year program. If you are looking for the Summer School Payment Policy, please find it here>>>
    2. All students, both new and continuing, including those in tutoring, need to register for every academic year. The registration fee is due every year for all continuing and new students.
    3. Securing a place at MWSM requires completing one online application per child and paying the registration fee(s). (See the enrollment page for details.)
    4. Our program is a year-long program.  Once you register your children, you are responsible for all payments. No refunds are provided if your child misses a class for any reason, including illness. We will provide homework if your child has to miss a class. If you choose to withdraw your child from the program, you can do so with one month written notice (see Separation Policy).  If you later choose to re-enroll your child, a new application and registration fee will be required.
    5. For students joing mid-year: Students who join after classes have started are not expected to pay for classes already past. All charges will be prorated based on the number of classes the student is actually registered for. However, the first payment, plus the registration fee, is due upon registration. Subsequent payments will be due on the 1st of the next month (for monthly payment plans) or on January 1st (for semi-annual payment plans).
    6. All Monthly payment plans require a one-time, non-refundable $45 charge by Smart Tuition
    7. If your account is more than 1 month overdue, we reserve the right to terminate your child's enrollment.
    8.  The Registration Fee is assessed as follows:
  • $100 for students who start in the first semester
  • $80 for students who start in the second semester
  • $40 for students who start after April 1st.

The registration fee is applicable to both new students and annual re-enrollment of continuing students. The registration fee is not refundable.

Exceptions: Short 10-session classes such as Chess and Math Challenge classes are not subject to a registration fee, nor are summer classes. The registration fee is also waived for students who are in private teacher tutoring only.

  1. Cancellation of tutoring classes requires at least 24 hours notice. Otherwise, you are responsible for the full amount due for the missed session. For semi-private tutoring, if you cancel the class, it is your responsibility also to notify the other students in the semi-private group regarding cancellation at least 24 hours in advance. Cancellation of one student will result in cancellation of the entire class, unless the remaining students wish to pay the private tutoring rate. If you fail to notify the other families regarding the cancellation at least 24 hours in advance, you are responsible for the cost of the missed tutoring session.

Pick-up and Drop-off Policy

  1. For the safety of your children please bring your children to class and stay with them until the class starts. MWSM is not responsible for children dropped off before the class. At the end of the class, please come to the reception area to pick up your child. Children will not be allowed to leave the building without their parent.
  2. If you arrange a carpool or have someone else pick up your child, please fill out the form (above) and return the completed form to our office.
  3. Students must be picked up promptly after the end of their class.  If you are late, our teachers or office staff will stay with your child until the child is picked up.  However, $1/min charge is applied to the student’s account for every minute after the 5 minutes grace period.

Missed Classes and Make-up Policy

  1. We do not offer make-ups for classes missed for any reason, including illness. Any exceptions must be approved by the Head of School.
  2. In the case a class is cancelled by the school, as in the case of a snow emergency, a make-up class will be scheduled.

Separation Policy

  1. Parents can terminate a student’s enrollment at any time for any reason from any of our year-long classes.A one month written notice of termination is required, and the parents are responsible for one month payment after the written cancellation notice is received.  The school will refund any unused portion of the tuition payment after that.  However, the registration fee is not refundable.
  2. The "one month any time cancellation notice" policy does not apply to the following "short session" classes:
    • All Summer school classes. Payment for the summer school is not refundable after two weeks before the first day of the school. See Summer School policies for detail.
    • Any of the special 10-session classes such as Chess and Math Challenge. A two-week advance cancellation notice is required for a full refund before the first class starts. No refunds are issued if a withdrawal notice is received after two weeks before the first class date.
  3. The school can terminate a student’s enrollment at any time for one of the following reasons:
    • The student’s behavior in the class is found to be consistently disruptive and inappropriate for a classroom and the student does not respond to teacher’s requests and warnings to alter such behavior. Parents will be informed of any incidents of disruptive or inappropriate behavior.
    • The tuition payment is more than one month overdue.

In case of student termination initiated by the school any unused portion of the tuition will be refunded; however the registration fee is not refundable.

 General Policies

  1. RSM-MetroWest accepts students kindergarten age and up providing they agree to abide by our rules and policies.
  2. E-mail is a preferred method of communication with the school administration; however if you wish, you can contact the administration during the regular office hours by phone or in person.
  3. All announcements (except weather cancellations) are made via e-mail. Please make sure you provide your current e-mail and notify the administration of any changes, and please make sure your e-mail is regularly monitored.
  4. Weather cancellations will be announced by 2 PM on weekdays or by 8 AM on weekends on our web site and as a pre-recorded message on the school’s phone. Please check the web site or call the school.Please do not e-mail school administration or the teachers, as you may not get a timely reply. Since our families come from many different towns, conditions on your commute to school may be quite different from what others are experiencing. We will exercise our best judgement and do what is best for the most people. Please use your own discretion if the school has not been canceled but the roads in your area are in bad condition.As always, safety first!
  5. We discourage parents sitting in the classroom during the lessons as it is disruptive to the class. If you have a strong reason to request a sit-in, please contact the school administration before contacting the teacher.
  6. We encourage parents to discuss their child’s progress with teachers, but please limit it to the time before or after class.
  7. The minimum class size at RSM-MetroWest is 5 students. RSM-MetroWest reserves the right to cancel any class with less than 5 students enrolled.
